This Privacy Policy explains how S S Textile Media Pvt. Ltd. ("Textile Fairs India", "TFI", "we", "us") handles personal information in the TFI Exhibitor Portal and in connection with exhibitor services and event communications. It applies to exhibitors and to people whose details are submitted to us for an exhibitor or event.

We handle personal information under the data protection and other laws that apply, including India’s Digital Personal Data Protection Act, 2023 and its rules as their provisions take effect.

Information we handle

• Business and booking information, including company name, business address, event, stall, category, and booking details.
• Contact information, including names, roles, email addresses, phone numbers, and alternate contacts.
• Information entered in exhibitor forms, such as company profiles, logos, badge names, authorized-person and contractor details, service or equipment requests, declarations, and uploaded documents.
• Account and security information, including login identifiers, one-time-code records, session data, timestamps, audit history, and IP address or other technical details recorded to secure the service and prevent misuse.
• Messages, preferences, and requests that you send to TFI or through the portal.

We receive information from exhibitors and their authorized representatives, from event booking records and the people administering an event, and directly from use of the portal. Please provide details about another person only when you are authorized to do so and have given them any notice or obtained any permission required by law.

How we use information

We use information to create and administer exhibitor bookings; verify identity and protect accounts; provide the portal and process event forms; coordinate badges, stall services, contractors, logistics, safety, and event operations; answer support requests; send important account, booking, deadline, security, and event-service updates; maintain records; prevent fraud or misuse; and meet legal obligations or resolve disputes.

TFI may also send relevant event, community, networking, invitation, or promotional announcements. We will use contact details for promotional communications only where we have the permission required by applicable law. Agreement to these website terms or use of the portal is not, by itself, consent to receive promotional SMS, WhatsApp, or other telecom messages. You can ask us to stop promotional messages using the contact details below. Stopping promotional messages does not stop essential account, booking, security, or event-service messages.

Email, SMS, WhatsApp, and portal notifications

The portal currently sends one-time login codes by email and supports in-portal and email event notifications. TFI may also communicate about event services or community and event announcements by telephone, SMS, or WhatsApp where those channels are used and permitted. Promotional or marketing communications will be sent only with any consent required by law. Message delivery depends on network and third-party services; carrier or data charges may apply. You may contact us to update your contact details or preferences.

When information is shared

We do not sell personal information. We may provide necessary information to: TFI personnel and event organizers who administer the relevant booking; service providers that host or maintain the portal, database, email, communications, or security systems; and event contractors or service partners when needed to fulfil a request or operate the event. We may also disclose information when required by law, to protect people or the service, or to establish or defend legal claims. Service providers are expected to use information only for their assigned services and to protect it.

Venue pages may load Google Maps, and the portal may load common interface resources from third-party content delivery networks. When those resources load, the relevant provider may receive technical information such as your IP address and browser details under its own privacy terms. Links to other services are governed by those services’ policies.

Storage, security, and retention

We use reasonable administrative and technical safeguards designed to protect information from unauthorized access, loss, alteration, or disclosure. No online service or transmission can be guaranteed completely secure. Access should be limited to people who need information for their work. If a personal-data incident occurs, we will assess it and provide any notices required by applicable law.

We keep information for as long as it is needed to administer bookings and events, provide the portal, maintain required business and audit records, address disputes, and comply with applicable law. Retention periods vary by record type. When information is no longer needed, we take steps to delete it or remove identifying details, subject to legal and operational requirements.

Our service providers may process information in India or other locations where their systems operate. Any cross-border handling is subject to restrictions and safeguards required by applicable law.

Your requests and choices

You may contact us to ask about personal information associated with you, correct inaccurate contact details, withdraw a permission where processing relies on that permission, object to or opt out of promotional communications, or request deletion where applicable. We may need to verify your identity and may retain records where required for a booking, event, security, legal, or dispute purpose. Rights and response requirements are subject to applicable law.

Children

The portal is intended for business exhibitors and their authorized representatives, not for children to use independently. If you believe a child’s personal information has been submitted to the portal, contact us so we can review it.

Changes to this policy

We may update this policy when our services or legal requirements change. The revised date above shows when it was last updated. We will provide additional notice where required.
